Account Enquiry – Other Payers

The Other Payers account enquiry window provides a full record of all financial transactions and outstanding balances of each Other Payer.
  1. All transactions are tracked at the invoice and item levels.
  1. An account enquiry is made by specifying the third party's name in the SELECT PAYER window.
  2. Account enquiry displays the aging of any outstanding debt as at the last aging.
  1. Any invoices billed since the last aging, and still unpaid, are included in the current total.
  1. The window is divided into two grids, the top grid displays invoices and the bottom grid displays the items included in the selected invoice.

Access

From the MAIN menu select Patient|Account Enquiry\Other Payer.
  1. Select Other Payer.
  1. Enter part of the other payer’s name in the Payer’s Name field.
  1. Click OK when you have the other payer selected.

Account Enquiry Fields

Top Panel

  1. Patient ID: For each invoice, this field will display the patient’s name and File ID.
  1. Other Payer: The Other Payer’s name that was selected for accounts enquiry.
  1. On Hold & Unbilled:      The On Hold and Unbilled fields display the total value of all invoices that are currently on hold or Unbilled.  
  1. Credit, Debt & Balance: The Credit field displays the total of any amount in credit.
  2. A credit may occur if an overpayment has been made, a deposit taken or if money received has not been correctly allocated.
  1. The Debt fields display the total amount of debt they owe.
  1. Displayed over the different stages of the aging process.
  1. Balance displays the total of all the debt – the credit.

The Invoice grid

The cursor is initially positioned in the Other Payer Invoices grid.
  1. The initial display represents all invoices issued that are not on hold or unbilled.
  2. Invoices are displayed in transaction date order, the most recent first.
  3. Move to other invoices with the up or down arrow keys or the mouse.
  4. From left to right, the columns in the Other Payer Invoices grid are:
Date:     Date the invoice was created,
Invoice: Internally generated invoice number,
Amount:   Initial invoice value,
Journal: Total of any journals for the invoice,
Paid:  Total of any payments made against the invoice,
Balance:    Invoice balance.

 The invoice item grid

Beneath the Other Payer Invoices grid is the Invoice Items grid.
Here, as you move from invoice to invoice, are displayed all the invoice line items and all transactions that have taken place in respect of the highlighted invoice, such as payments and journals.
Click in this grid and you can use the up or down arrow keys to view all the transaction details.

From left to right, the columns in the Invoice Items grid are:
TT:         Transaction type code (I=Invoice; J=Journal; R=Receipt)
T No.:    Computer generated Transaction number for each billing line item, receipt and journal
RT No:   Reference Transaction number. If the transaction is a journal or receipt, its RT number will be the transaction number of the transaction it relates to.
Date:     Service date of the transaction
Prv:       Service Provider code billed
Loc:       Service Location code billed
FT:          Fee type billed
Billed As:    Item Number billed
Inv / Rec:    Value of the selected Invoice item or Receipt
Pd / Jrn:      Value of the selected Journal, i.e. where the TT column has a ‘J’ value
The Pd/Jrn column has a special function for Invoice items, i.e. where the TT column has an ‘I’ value.
In respect to each item, this column sums all the receipts and/or journals that have been made in relation to that item.

Functions available from Accounts Enquiry Menu
View all Other Payer Invoices.This is the default view.
  1. Select Invoices|Invoiced
  1. View Invoices that are On Hold or Unbilled
  1. Select Invoices|Held & Unbilled
  1. View all Other Payer Receipts
  1. Select Invoices|Receipts.
View Other Payer Outstanding invoices
In this view only Invoices that have an outstanding balance are displayed.
  1. Select Invoicies|Outstanding.
  1. To take an On Hold Invoice off hold or release an unbilled invoice
  1. Select Invoices|Held & Unbilled to view all Unbilled and On Hold invoices.
  1. Select the required invoice from the Other Payer Invoices grid
  1. Select Invoices|Print
Display comments
Comments can be attached to items at time of billing. Comment can also be attached to each payment or journal transaction.
  1. Select an item, journal or receipt in the Invoice Items grid.
  1. Select Invoices|Comment from the menu.
  1. If any comment is attached, the COMMENTS window will display.
Process a payment from the current Other Payer
  1. Select System|Payment from the menu
  1. The PAYMENTS window will display to complete payment.
Patient billing from account enquiry
  1. Select System|Billing from the menu or F8
  1. The BILLING window will display.
Enter a Journal for the Other Payer
  1. Select System|Journal from the menu
  1. The JOURNALS window will display.
View the accounts details of another Other Payer
  1. Select Other Payer|Next Other Payer from the menu. Shift+F9
  1. Select the next Other Payer from the SELECT PAYER window
  1. Click OK
Printing
The printing function allows you to:
Reprint invoices as duplicates
Reprint receipts as duplicates
Print invoices that are On Hold or Unbilled
Print a duplicate invoice
  1. Reprints are always an exact and complete copy of the original invoice, except that they are clearly marked as being a duplicate.
Select the required invoice in the Other Payer Invoices grid.
Select Print or Invoices|Print from the menu.
 Print a duplicate receipt
Reprints are always an exact and complete copy of the original receipt, except that they are clearly marked as being a duplicate.
Select the required receipt in the Receipt grid.
Select Receipt Print from the menu
