FAMILIES
Individual patients can be entered separately in patient details or attached to a family group with one family member selected as the Head of Family.
For billing purposes the Family Head is the person that Invoices are addressed to.
Family membership can be altered at any time and the head of the family can also be changed.
In the instance where a Child under the age of 12 years old is invoiced for a service such as Private billing, Patient Claims or In-Patient Medical Claims they must be attached to a Family.
Attach New Member to Head of Family
- Search for the patient entered as the Head of Family
- On the Patient Details screen
- Click Shift+F6
- Enter the family member name in the NEW PATIENT window the click OK
- Accept the File ID in ACCEPT/REJECT NEW FILE ID window
- Click NO if this family member will not be the new Head of Family.
- Confirm By Clicking 'YES' whether the basic details for the family such as, Address, Medicare Card Number, are the same as the Head Of Family
- If Not click ‘NO’. Patient details screen will open and details can be entered.
- Enter Date of Birth. This is a Mandatory field.
- Select cards and click edit on the Medicare card. Enter the IRN for this family member
- Complete all other patient details such as entering health fund cards, referrals etc for this family member if required
- Click the F2 or OK button to save the new family member
Attach a New Head of Family to a Child under 12 Years Old
- Search for the patient.
- On the Patient Details screen
- Click Shift+F6
- Enter the family member name in the NEW PATIENT window the click OK
- Accept the File ID in ACCEPT/REJECT NEW FILE ID window
- Click YES if this family member will be the new Head of Family.
- Confirm By Clicking 'YES' whether the basic details for the family such as, Address, Medicare Card Number, are the same as the Patient
- If Not click ‘NO’. Patient details screen will open and details can be entered.
- Enter Date of Birth. This is a Mandatory field.
- If a New Head of Family date of birth is not known and you will not be billing this Head of family for services by this doctor, you can enter a dummy date of Birth eg 01/01/1975,otherwise enter the dummy date of birth and update patient details later
- Select cards and click edit on the Medicare card. Enter the IRN for this family member.
- Complete all other patient details such as entering health fund cards, referrals etc for this family member if required
- Click the F2 or OK button to save the new family member
To View Members of a Family
- Bring any family member into the PATIENT DETAILS window.
- Select Patient Details [top taskbar of Patient details screen]
- Select View Family from the menu.
- The VIEW FAMILY MEMBERS window displays the family head and all members of the family.
To Change The Head of Family
- In The VIEW FAMILY MEMBERS View you can select a patient in the grid as the new Head of Family
- Click the New Head button.
- Click Close to return to the PATIENT DETAILS window.
To Make a Family Member Head of Own Family
- Select Patient in the PATIENT DETAILS window.
- Select Patient Details [top taskbar of Patient details screen]
- Select MAKE OWN FAMILY.
- Click OK to confirm.
- Patient details can be changed now if need and saved F2
To Move an individual Family Member to another Family
- Bring the patient you wish to move to another family into the PATIENT DETAILS window.
- Click Shift+F9
- In the PATIENT SEARCH window, search for any member of the new family by typing in one or more letters of the family name, or by typing in part of the family name followed by a comma, then part of the given name of one of the new family members.
- Then highlight the name in the grid and click OK.
- In the CHANGE FAMILY window, the full details of the selected family member are displayed.
- Confirm that you want the patient to join this family by clicking OK
